Working alongside an Executive Assistant, you will play a key role in ensuring the smooth day-to-day operation of a lean, high-performing team.
This position will suit a proactive and highly organised Team Assistant, Executive Assistant or Administrator who enjoys working in a fast-paced environment, takes initiative and is always thinking one step ahead.
Key Responsibilities
- Provide proactive administrative support to the MD and broader team
- Coordinate calendars, meetings and scheduling across multiple time zones
- Organise meeting logistics including rooms, dial-ins, catering and materials
- Track scheduling conflicts and proactively suggest solutions
- Anticipate potential issues and take ownership of resolving administrative, scheduling and basic technology-related challenges before they impact the team.
- Assist with follow-ups, workflow coordination and deadline management
- Book domestic and international travel, including itineraries, transfers and visa coordination
- Maintain filing systems and ensure documentation is accurate and easily accessible
- Support office administration including supplies, facilities coordination and vendor liaison
- Assist with ad hoc tasks and team support as required
- 3–5 years’ administrative support experience, ideally within financial services or another fast-paced corporate environment
- Confident managing diaries, travel and multiple competing priorities
- Highly organised with excellent attention to detail
- Proactive, resourceful and comfortable working independently
- Professional and confident communicating with senior stakeholders
- Strong interpersonal skills and a collaborative approach
- Comfortable working within a small team where flexibility and initiative are highly valued
