About the role 

In this diverse and rewarding role you will be providing Executive Assistant support to the Executive General Manager Commercial and wider Commercial team. The successful candidate will be supporting an extremely busy and dynamic individual where they not only assist with their day to day activities but also provide a strategic partnership to ensure the business continues to strive. 

Responsibilities
 
Supporting the Executive General Manager - Commercial and wider Commercial team, your responsibilities will include, however not be limited to;
  • Prioritise and ensure that reports, business papers and correspondence are dealt with efficiently and promptly (formatting, binding, dispatch, proof reading)
  • Diary management 
  • Organising travel and other related arrangements (flights, transfers hotel bookings) for Commercial team
  • Filing, preparation, collation and distribution of supportive documentation, notes and correspondence
  • Screening telephone calls
  • Credit card reconciliations
  • Scheduling board meetings
  • Check agenda and supportive documents and notes
  • Check details in all paperwork working with others as necessary
  • Identify and take any follow up action arising from the notes that are required
  • Setup for meetings including any required catering
  • Assists with letters and presentations
  • Manager commercial teams KPIs
  • Carry out special projects as allocated 
 
Skills and Experience
 
• Experience working in a similar Executive Assistant position 
• Experience in executive level email and appointment scheduling
• Ability to prioritise and stay one step ahead
• Strong communication skills both written and verbal
• Ability to build exceptional rapport with clients
• Overall great team player
• High degree of attention to detail
• Excellent planning and organisation skills while being extremely flexible
• Intermediate - Advanced Microsoft knowledge
• Excellent time management skills
• Highly organised and able to prioritise tasks effectively
