About the Role  
A unique opportunity exists for a highly organised and proactive Office Manager and Executive Assistant to join a fast paced, international business operating across multiple markets. This role blends hands on office management with high level executive support, working closely with senior leadership to ensure smooth day to day operations and effective business coordination.

The position is split between managing office operations and providing dedicated support to two senior executives, with a strong focus on efficiency, communication, and attention to detail. You will also play an important role in supporting team culture, onboarding, and internal engagement activities.

Key Responsibilities

Office Management
• Oversee day to day office operations including supplies, catering, meeting room setup, and general office presentation
• Act as the main point of contact for building management, maintenance, and facilities support
• Coordinate IT equipment, office systems, and general operational requirements
• Manage meeting room bookings and ensure smooth internal coordination
• Support office budget tracking and supplier relationships

Executive Support
• Manage complex calendars, meetings, and daily scheduling for senior executives
• Coordinate domestic and international travel including flights, accommodation, visas, and detailed itineraries
• Prepare, edit, and format correspondence, presentations, and documents
• Process and reconcile expense claims in line with company policy
• Organise meetings including agendas, coordination, minutes where required, and follow up on actions
• Provide confidential and high level administrative support across priorities and projects
• Support other senior leaders when required

Team Engagement and Events
• Support onboarding processes in collaboration with People and Culture
• Coordinate internal and external events including planning, budgets, logistics, and delivery
• Maintain an active calendar of office events to support engagement, culture, and collaboration

About You
• Experienced in office coordination and executive support within a fast paced environment
• Highly organised with strong time management and prioritisation skills
• Excellent communication skills with the ability to engage across all levels of a business
• Strong attention to detail and a proactive, solutions focused approach
• Confident managing multiple competing priorities with discretion and professionalism
• Advanced proficiency in Microsoft Office and related business systems
