An exciting opportunity has opened up for an experienced and dynamic Executive Assistant to provide high-level support to the Executive Director of Corporate Affairs at a highly reputable government organization. Key Responsibilities
Your key responsibilities will include, however are not limited to:
- Diary management for the Executive Director
- Prepare agendas, meeting preparation and reports.
- Undertake general administration –corporate credit card reconciliations, coordinating catering, greeting guests, raising purchase orders
- Manage VIP guests to an itinerary including booking flights, accommodation, catering and ensuring they are running to schedule.
- All workflows on behalf of the Executive Director are actioned appropriately and in a timely manner.
- Coordinate any travel for the team.
- On behalf of the Executive Director, Corporate Affairs, coordinate the Corporate Affairs town halls, lunch and learns, external meetings and overarching team wide activities including coordination of materials and venues.
- Prepare reports, presentations and responses to internal requests for information.
- Manage the on and off-boarding of the leadership team and the off-boarding reminders for the Corporate Affairs division
- Implement administrative process improvements and efficiencies.
- Support the Reward and Recognition initiatives managed by Corporate Affairs.
- Support the events managed by Corporate Affairs
- All other ad hoc duties and responsibilities as determined by the Executive Director Corporate Affairs
As the suitable candidate for this position, you will hold prior relevant and recent experience as an Executive Assistant.
In addition, you will also:
- Demonstrated experience supporting a business leader.
- Experience with board secretariat support;
- Extensive experience in interacting with multiple stakeholders;
- Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
- Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
- Ability to professionally manage scheduling conflicts and recommend appropriate solutions;
- High computer literacy in all Microsoft office applications (Word, Outlook, Excel, PowerPoint).
