About the Role:

Our client is a well-established tight-knit team within the construction and landscaping sector, based in Moorabbin. They are seeking a proactive and highly organised Office Manager to join their friendly and professional team.

This is a varied, hands-on role supporting the business owner and wider team across administration, operations, and coordination functions. Reporting directly to the business owner, this position is ideal for someone who thrives in a fast-paced small to medium business environment and enjoys being across all aspects of business operations.


Key Responsibilities:

  • Act as the Personal Assistant to the business owner, including client, supplier, and internal correspondence
  • Manage day-to-day office administration, including phone, email, diary management, and front-of-house duties
  • Support tender submissions, including coordination with clients and suppliers and preparation of documentation
  • Prepare and issue contracts, variations, and warranty insurance for construction projects
  • Maintain and manage client files, project handover packs, and related documentation
  • Coordinate HR administration and onboarding processes
  • Liaise daily with Construction, Maintenance Managers, and Bookkeeper
  • Support OHS compliance activities, including SWMS, JSA preparation, incident reporting, and training coordination
  • Organise staff events, toolbox meetings, and internal communications
  • Provide general administrative and operational support across the business as required
Skills and Experience:
  • Previous experience in an Office Manager, Senior Office Administrator, or similar role within an SME environment
  • Experience within construction, trades, or related industries highly regarded
  • Strong organisational and time management skills with the ability to manage competing priorities
  • Confident communicator with strong written and verbal skills
  • High attention to detail and accuracy
  • Experience with BuildXact or similar systems advantageous
  • Social media or basic marketing experience beneficial
  • Ability to work autonomously and take initiative in a fast-moving environment
  • Strong stakeholder management skills with a proactive, solutions-focused mindset
