This position plays a pivotal role in ensuring the smooth day-to-day operation of facilities, services and operational functions across a busy and dynamic residential environment. Supporting students, staff and visitors, the successful candidate will help maintain a safe, welcoming and high-quality living and learning community.
About the Role
Reporting to the Director of Business and Operations, the Op's, Admin & Facilities Manager will oversee the coordination of facilities management, contractor services, operational systems and event support across the organisation.
This is a diverse, hands-on role that requires strong organisational capability, excellent stakeholder management skills and the ability to manage multiple priorities in a fast-paced environment.
Key areas of responsibility include:
- Coordinating building maintenance, repairs and operational works across the site by liaising with trades
- Managing external contractors across cleaning, grounds, maintenance, catering and IT services
- Monitoring service delivery standards and conducting regular quality assurance checks
- Supporting operational planning around academic calendars, events and residential activities
- Assisting with event logistics including AV support, setup and pack down
- Managing security access systems, keys, CCTV and associated operational infrastructure
- Supporting workplace health and safety processes, reporting and compliance requirements
- Maintaining operational records, systems and documentation
- Assisting with budgeting, forecasting and asset management activities
- Identifying opportunities for continuous improvement across operational services and systems
About You
The ideal candidate will bring previous experience in admin, facilities or property management, along with a collaborative and solutions-focused approach.
You will also demonstrate:
- Strong organisational and time management skills
- The ability to manage competing priorities and work autonomously
- Excellent communication and stakeholder engagement skills
- Experience coordinating contractors and service providers
- Confidence using Microsoft Office 365 and operational management systems
- A proactive approach to problem-solving and process improvement
