This position plays a pivotal role in ensuring the smooth day-to-day operation of facilities, services and operational functions across a busy and dynamic residential environment. Supporting students, staff and visitors, the successful candidate will help maintain a safe, welcoming and high-quality living and learning community.
  
About the Role
Reporting to the Director of Business and Operations, the Op's, Admin & Facilities Manager will oversee the coordination of facilities management, contractor services, operational systems and event support across the organisation.
  
This is a diverse, hands-on role that requires strong organisational capability, excellent stakeholder management skills and the ability to manage multiple priorities in a fast-paced environment.
Key areas of responsibility include:
  • Coordinating building maintenance, repairs and operational works across the site by liaising with trades
  • Managing external contractors across cleaning, grounds, maintenance, catering and IT services
  • Monitoring service delivery standards and conducting regular quality assurance checks
  • Supporting operational planning around academic calendars, events and residential activities
  • Assisting with event logistics including AV support, setup and pack down
  • Managing security access systems, keys, CCTV and associated operational infrastructure
  • Supporting workplace health and safety processes, reporting and compliance requirements
  • Maintaining operational records, systems and documentation
  • Assisting with budgeting, forecasting and asset management activities
  • Identifying opportunities for continuous improvement across operational services and systems
  
About You
The ideal candidate will bring previous experience in admin, facilities or property management, along with a collaborative and solutions-focused approach.
You will also demonstrate:
  • Strong organisational and time management skills
  • The ability to manage competing priorities and work autonomously
  • Excellent communication and stakeholder engagement skills
  • Experience coordinating contractors and service providers
  • Confidence using Microsoft Office 365 and operational management systems
  • A proactive approach to problem-solving and process improvement
  • Commitment to workplace health and safety standards
Experience working within education, accommodation, hotels, hospitality or community-focused environments will be highly regarded.
