Our client is a well-established Accounting and Financial Services firm seeking a polished and proactive Receptionist & Office Administrator to join their busy team. This role is ideal for someone who thrives in a professional client-facing environment and enjoys balancing reception, administration, and office coordination responsibilities. As the first point of contact for clients and visitors, you will play a key role in delivering an exceptional client experience while ensuring the smooth day-to-day operation of the office. Working closely with the Office Manager and wider team, you will be responsible for creating a welcoming and professional environment while supporting a variety of administrative functions.
Key Responsibilities:
- Meet and greet clients, visitors, and stakeholders professionally.
- Manage a busy front-of-house reception area.
- Answer and direct incoming calls via the 3CX phone system.
- Coordinate meeting room bookings, set-up, and pack-down.
- Organise refreshments and catering for meetings and events.
- Maintain office presentation, facilities, and communal areas.
- Manage office supplies and stock ordering, including weekly purchases.
- Support document management and workflow processes through FYI Docs.
- Assist with invoice follow-up, client correspondence, and general administration.
- Liaise with internal teams to ensure a seamless client experience.
- Provide ad hoc administrative support across the business as required.
- Previous experience in Reception, Front-of-House, Office Administration, or Client Services roles.
- Experience working within a professional services environment will be highly regarded.
- Strong communication and interpersonal skills with a customer-focused approach.
- Well-presented, polished, and professional in both appearance and manner.
- Highly organised with strong attention to detail.
- Ability to multitask and remain composed in a busy environment.
- Proactive, self-motivated, and able to use initiative.
- Strong Microsoft Office skills and confidence learning new systems.
