This role sits at the centre of a busy corporate office, supporting senior executives while ensuring smooth day-to-day operations across a professional client-facing workspace.
It is a varied position spanning executive support, office coordination, administration and client hospitality, suited to someone who enjoys working in a structured, service-oriented environment with strong attention to detail and a commitment to delivering quality outcomes.
The Role
Reporting to the Executive Assistant, you will provide support to a team of senior professionals while taking ownership of the presentation and coordination of the office.
Key responsibilities include:
- Coordinating meeting room setup including AV, catering and client readiness
- Meeting and greeting senior clients and external stakeholders
- Maintaining the presentation of boardrooms, kitchen and communal spaces
- Managing office supplies, stock levels, couriers and deliveries
- Supporting diary coordination and meeting scheduling
- Assisting with domestic and occasional international travel arrangements
- Processing expenses and supporting reconciliation processes
- Preparing, formatting and binding confidential documentation
- Assisting with internal and client events
- Supporting invoice processing and general administrative tasks
- Acting as a key liaison for facilities, building management and IT support
- Providing proactive ad hoc support to executives and the broader team
You are a professional, detail-oriented individual who takes pride in creating a seamless experience for both internal stakeholders and external clients.
Ideally, you will bring:
- 2+ years' experience in a corporate, professional services or premium office environment
- Strong communication skills with a polished and confident approach
- Excellent attention to detail and strong organisational skills
- Intermediate Microsoft Office skills (Outlook, Word, Excel and PowerPoint)
- The ability to manage competing priorities in a busy environment
- A proactive, solutions-focused mindset with strong initiative
