The Position

An opportunity has become available for an Executive Assistant to support the General Manager (GM) of a highly reputable, purpose-led state government department located in the inner northern suburbs of Brisbane.

Your ability to coordinate and manage varying expectations, stakeholder requirements, and daily workflows will be highly attractive for this position. As the Executive Assistant you will provide confidential, high level executive support to the GM, and be responsible for diary management, inbox management, coordination of meetings and schedules, and acting on behalf of the GM. You will have parking available onsite and be part of a supportive and collaborative team environment. 


Key Responsibilities

This position is an integral role in the organisation and requires an organised and skilled Executive Assistant who can provide a high-level of coordination.

Your key responsibilities will include, however are not limited to:
  • Providing high level executive support in the form of diary management, scheduling and arranging meetings, and coordinating travel arrangements;
  • Providing high level administrative support to the broader team/direct reports in the form of document management, reporting, meeting coordination and ad hoc support;
  • Attending meetings to take minutes and follow up on action points;
  • Drafting, preparing and coordinating high level communication including correspondence, reports and presentations and monitoring all correspondence to ensure a prompt and accurate response;
  • Supporting with the broader office management coordination to ensure effective facilitation of the office operations. 

Skills & Experience

As the suitable candidate for this position, you will hold prior relevant and recent experience as an Executive Assistant.

In addition, you will also:
  • Extensive experience interacting with multiple stakeholders;
  • Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
  • Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
  • High computer literacy in all Microsoft office applications (Word, Outlook, Excel, PowerPoint).
