The Position

An exceptional opportunity has become available for an Executive Assistant to Senior Executive to join a high performing not for profit. This role is an initial 6 month contract due to the position being newly created, with the opportunity for permanent employment.

This organisation is located in the inner suburbs (East) of Melbourne with close access to public transport and free parking.

This role allows you the opportunity to work in a values-driven organisation who hold a highly respected reputation in their field. You will provide strategic support and operational assistance across a range of sensitive and confidential issues, and be a true partner with your Executive. Your ability to coordinate and manage varying expectations and daily workflows will be highly attractive for this position.

Key Responsibilities

Reporting to and supporting the Senior Executive, this position is an integral role in the organisation and requires a highly organised and skilled professional who can provide an exceptional level of coordination and management.

Your key responsibilities will include, however are not limited to:
  • High quality administrative and general office support.
  • Diary and inbox management, and the triaging of correspondence and enquiries.
  • Coordinate internal and external events.
  • Assist in the preparation and drafting of reports.
  • Coordinate and format information for internal and external communications.
  • Expense management, including monthly reconciliation.
  • Arrange travel and accommodation arrangements.
  • Reconciliation of Executive Corporate Credit Card.
  • Arrange attendance at conferences, seminars and professional development opportunities.
  • Liaising with other back-office functions in regards to systems, including Payroll, Finance, Accounts Payable, Communications and other systems as required.
  • Provide information and communications to internal and external stakeholders.
  • Assist with other general administrative tasks as required
As the suitable candidate for this position, you will hold prior relevant and recent experience as an Executive Assistant within a corporate business environment. 

In addition, you will also:
  • Extensive experience in interacting with multiple stakeholders;
  • Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
  • Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
  • Ability to professionally manage scheduling conflicts and recommend appropriate solutions;
  • High computer literacy in all Microsoft office applications (Word, Outlook, Excel, PowerPoint).
