About the role 

Supporting the CEO and General Manager (GM) of a leading Healthcare provider, you are an experienced Executive Assistant who enjoys working in a role where you are heavily relied upon on a daily basis. Each morning you will connect with the CEO and GM and establish a plan of attack for the day ahead, which will often involve diary, email and travel management, the coordination of internal meetings as well as attending leadership meetings and taking minutes as required, preparing documents for internal and external use as well as all administrative duties associated with the role. This is a true Executive Assistant role where you will partner with key executives and provide support in the most effective way. Responsibilities
  
This role requires an Executive Assistant who has previously provided high-level administrative support to Senior Managers and Executives. The responsibilities of this role will include but not be limited to; 
 
Diary management, coordinating meetings and schedules
Organising travel and accommodation
Managing credit cards and expenses
Liaising with key internal and external stakeholders including the leadership team
Coordinating & attending weekly and fortnightly management meetings
Generating agendas, taking minutes and collating/distributing documents/reports
Assisting with the organisation of committee meetings/papers
Preparing/formatting documents 
Managing expectations and daily work flow
Coordinating ad-hoc administrative requests as required
  
  
Skills/ Experience

• Experience working within Healthcare or Pharmacy space is highly regarded however not essential.
• Experience in executive level email and appointment scheduling
• Ability to prioritize and stay one step ahead
• Strong communication skills both written and verbal
• Ability to build exceptional rapport with clients
• Overall great team player
• High degree of attention to detail
• Excellent planning and organisation skills while being extremely flexible
• Intermediate - Advanced Microsoft knowledge
• Excellent time management skills
• Highly organised and able to prioritize tasks effectively

About the client

Our client is a leading healthcare provider, who are located in Melbourne's City Fringe. Due to movement within the business, they are seeking a highly experienced Executive Assistant to provide them with immediate support! This will be a fast paced and challenging role where you will be responsible for supporting the CEO and GM with all executive support duties. This is a temporary position with an immediate start and will be working from home until further notice.
