About the Role
We’re seeking an experienced Executive Assistant to provide high-level support to a highly regarded CEO and Executive Director. In this role, you’ll manage busy schedules, coordinate meetings, handle travel arrangements, and assist with reporting, communications, and internal operations.
You’ll be the go-to person for ensuring smooth daily operations, acting as a key liaison across the business and with external stakeholders. If you're highly organised, comfortable working with digital tools, and enjoy being two steps ahead, we’d love to hear from you.
Key Responsibilities
- Manage complex diaries, travel, emails, and daily priorities
- Prepare agendas, take minutes, and coordinate key meetings
- Draft professional correspondence, reports, and presentations
- Support with internal projects, reporting, and document management
- Act as a central contact point for internal teams and external stakeholders
- Identify and implement process improvements using digital tools
- Maintain confidentiality and handle sensitive information with discretion
- Previous experience supporting senior executives (C-suite or Director level)
- Prior experience working in a Healthcare organisation is highly regarded
- Excellent organisational and time management skills
- Strong written and verbal communication
- High attention to detail and ability to work under pressure
- Confident using Microsoft Office, Google Workspace, and workflow tools
- A proactive attitude and ability to anticipate needs
- Ability to build strong relationships and work collaboratively
- Experience in healthcare or not-for-profit is a plus
- Certificate IV or Diploma in Business Administration or similar (preferred)
- Experience in a similar EA or high-level administration role
