This is a fantastic opportunity for an experienced and professional Executive Assistant to support the CEO of a thriving and growing beverage company in a challenging and rewarding role. This is a diverse role requiring the successful candidate to possess a business mindset that allows them to influence outcomes and make independent decisions.
Responsibilities
Supporting the CEO your role would involve:
- Manage the CEO’s calendar and travel arrangements
- Coordinate internal and external meetings for CEO with broader team, including room set up, arrange catering etc as needed
- Coordinate internal reports or board reports as required
- Produce & distribute meeting agendas and take minutes
- Manage, develop and implement systems and processes
- Project support including new product development & ad hoc event management
- Financial administration such as reconciling expenses as require
- Ability to develop and implement business process improvements and efficiencies within your area
- Support customer related queries as directed by CEO
- Support the running of efficient and effective meetings, by ensuring meeting preparation is undertaken by team including confirming agenda, required materials etc ahead of time
- Collate requests for ordering of office and kitchen supplies required by various business teams including stationary, postage supplies, coffee/tea etc.
- Collect and distribute daily incoming mail as required
- Liaise with external contacts if required including cleaning staff, printer technicians, building managers, trades etc.
- Perform ad hoc duties and projects assigned by CEO
- Ability to work independently, proactively and be confident in offering feedback and solutions
- Ability to take initiative and proactively foresee the needs of the business
- Ability to multi-task and prioritise workload
- Great attention to detail, with a solutions focused attitude
- Exemplary planning and time management skills.
- Process driven and methodical
- Experience using Microsoft Office (Excel/Word)
- Experience with Google Suite
- Experience supporting a C-Suite Executive is advantageous
- Team player and all rounder with a positive attitude and willingness to be the ‘go to’ person for the CEO and broader team as required
- Ability to communicate well and maintain productive relationships within the business, as well as with external stakeholders
- Great interpersonal skills, ability to exercise discretion when required in managing sensitive information
- Proactive and positive attitude to managing workload
