About Brisbane 2032 
 
The Brisbane 2032 Olympic and Paralympic Games (the “Games”) will be the largest event in South-East Queensland’s history, with the potential to deliver transformational change to our region. As the name suggests, the Brisbane Organising Committee for the 2032 Olympic and Paralympic Games (“Brisbane 2032”) is responsible for organising the Games. Some of Brisbane 2032’s operational responsibilities include: raising revenue through sponsorship, ticketing and the sale of Brisbane 2032 merchandise, sourcing the goods and services required to deliver the Games, managing the temporary overlay and operation of the venues, security, recruiting the Brisbane 2032 volunteers and the other elements that bring together the Games itself. Brisbane 2032 will coordinate and track the progress of all Games Delivery Partners and contributors to ensure the delivery of one of the most important events on record for Queensland and Australia.

About the Position 
 
The Executive Assistant will provide executive administrative support to the Brisbane 2032 President and, when required, more broadly to the team supporting the President including the President’s Chief of Staff. 
  

Executive Assistant  
  
As the Executive Assistant to the President, you will be the calm and efficient force behind the scenes, enabling and supporting the President to focus on his strategic, governance and stakeholder responsibilities. Duties will include: 

  • Managing the President’s diary, travel and meeting arrangements across multiple jurisdictions and time zones; 

  • Managing the President’s inbox, correspondence and filing and escalating urgent matters to the President’s attention; 

  • Managing the President’s engagement with a variety of internal and external stakeholders including the International Olympic Committee, International Paralympic Committee, Australian Olympic Committee, Paralympics Australia and all levels of Government;  

  • Supporting the President with the discharge of his financial accountabilities include processing expense claims and providing administrative support in the exercise of his financial delegations; 

  • Providing support in the delivery of Brisbane 2032 Board and Committee meetings; 

  • Providing support to Brisbane 2032 Board Members in relation to their role with Brisbane 2032, including helping with travel arrangements and processing expense claims; 

  • Providing administrative support as required to the broader Office of the President, including the President’s Chief of Staff; 

  • Handling confidential information in a professional and discreet manner; 

  • Having advanced skills in Microsoft Office Suite: Outlook, Word, Excel and PowerPoint.  

  
About You 
  
To be successful in this role you will have the following skills: 

  • Demonstrated experience in a similar role, supporting global business executives. 

  • Experience operating in a highly complex stakeholder environment.  

  • Understanding of executive level priorities and responsibilities.  

  • Highly refined organisational and time management skills and the ability to manage multiple and complex projects simultaneously and seamlessly. 

  • Proven resilience working in highly challenging environments with complex stakeholders and pressing deadlines. 

  • Ability to quickly build rapport and foster collaboration with all members of the Brisbane 2032 team and the President’s wider stakeholder group. 

  • The ability to work independently and as part of a team. 

  • Excellent written and communication. 

  • Highly competent in Microsoft suite – Outlook, Word, Excel, PowerPoint.
