Office Administrator – Accounting Firm

We’re an established accounting firm seeking a dependable and detail oriented Office Administrator to support our compliance processes, client communications, and administrative systems. What You’ll Be Doing
 
 Accounting & Compliance Support
  • Assist with ATO lodgements and documentation.
  • Prepare and distribute Trust Distribution Minutes to clients for signing.
  • Assemble and finalise client document packs and ensure proper collation.
 Client & Stakeholder Liaison
  • Coordinate client appointments and communications as a key point of contact.
  • Manage ID verification processes and work with Directors on ethical clearance letters and onboarding documentation.
 Office & Systems Administration
  • Scan and upload documents, create client jobs in Xero, and assist with monthly invoicing.
  • Maintain clean and accurate data records across systems.
  • Send out documents for signing and liaise with offshore support teams.
  • Update templates and assist with system housekeeping in collaboration with our Database Administrator.                                                      
What we are looking for  
  • Experience: Minimum 2 years in a similar role within a public practice accounting firm.
  • Tech-Savvy: Comfortable using accounting software (especially Xero) and document management systems.
  • Organised & Reliable: Able to juggle multiple tasks with ease, meet deadlines, and stay on top of details.
  • Client-Focused: Professional and friendly communicator with a strong service ethic.
  • Process-Oriented: Enjoys improving workflows and finding smarter ways to get things done.
  • Discreet & Trustworthy: Handles sensitive financial and client information with the utmost confidentiality.
