Key Responsibilities
- Manage the COO’s diary, protecting her time and ensuring balanced meeting flow
- Attend operational and committee meetings, providing accurate minutes within 1.5 days
- Follow up actions and deliverables from committee meetings
- Coordinate off‑site meetings and manage impacts on broader scheduling
- Work closely with the CEO, senior leadership team and EA to the CEO
- Provide reception coverage when required (shared responsibility)
- Ensure smooth coordination of shared meeting rooms and office spaces
- Act as backup to the EA to the CEO (company secretary), stepping into board or AGM support when needed
- Strong Executive Assistant or senior administrative background, ideally in the NFP sector
- Demonstrated experience managing senior‑level diaries and priorities
- Confident producing high‑quality minutes and coordinating follow‑up actions
- Calm, proactive and effective at managing competing demands
- Comfortable stepping into CEO‑level support when required
- Professional, reliable, relationship‑focused and able to work autonomously
- Up to $48 per hour + super (temp contract)
- Initial 4‑week contract, with strong likelihood of permanency for the right candidate
- Future salary packaging of $89k + super if permanent
- Immediate start required
