An exciting and unique opportunity is available for a highly capable Executive Assistant to support the CEO of a thriving family office with global reach. This role involves a combination of personal and professional support, requiring a proactive, detail-oriented, and discreet individual who thrives in a fast-paced, high-touch environment.
Your ability to anticipate needs, manage competing priorities, and provide seamless support will be key to your success in this role.
Key Responsibilities
This position plays a critical role in ensuring the CEO is supported across all business and personal priorities. Responsibilities include, but are not limited to:
- Providing high-level support to the CEO, including extensive diary management, travel coordination (domestic and international), and meeting scheduling
- Managing and triaging communications, including email inbox and phone calls
- Coordinating a variety of events — from global business forums to private gatherings and personal celebrations
- Liaising with a broad network of stakeholders, including private staff, household managers, pilots, and international partners
- Supporting the broader leadership team with agenda preparation, meeting coordination, action tracking, and minute-taking
- Drafting and preparing correspondence, reports, and presentations on behalf of the CEO
- Assisting in the execution of strategic and personal projects, ensuring timely and efficient outcomes
- Collaborating with internal administration and operational teams to deliver high standards of service and execution
To be successful in this role, you will have demonstrated experience in a high-level Executive Assistant position, ideally within a family office, private wealth environment, or supporting a C-suite leader with global interests.
You will also bring:
- A warm, professional, and adaptable communication style across all levels
- The ability to work with discretion, diplomacy, and sound judgment
- Flexibility and responsiveness to changing priorities across time zones and portfolios
- Proven experience managing scheduling complexities with a solution-focused mindset
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
