Key Responsibilities
Reporting to the Information Management Lead, your role will include:
- Overseeing the day-to-day administration of ELO (EDRMS), including user access, folder structures, document control, and register updates.
- Designing, implementing, and maintaining SharePoint Online environments to support structured content management and align with organisational architecture and metadata standards.
- Administering document lifecycle processes, including creation, classification, retention, and disposal in accordance with internal frameworks and compliance standards.
- Collaborating with stakeholders to map SharePoint site structures to EDRMS taxonomies for seamless integration and compliance.
- Supporting the management of physical records, including secure storage, retrieval, and disposal (in line with NAA guidelines—or a willingness to learn).
- Conducting quality control audits on controlled documents to ensure accuracy and adherence to best practice.
- Providing end-user training and support across teams to encourage consistent use of templates, version control, and document handling protocols.
- Identifying opportunities to improve information management processes and championing change across the organisation.
To succeed in this role, you will ideally bring:
- Prior experience in an Information Officer or similar role within an IT or records management environment.
- Hands-on experience managing SharePoint Online, including configuration, permissions, metadata, and retention policies within a Microsoft 365 environment.
- Exposure to tools such as Power Automate and/or PowerShell (advantageous).
- Understanding of EDRMS (ideally ELO) and document control best practices.
- Familiarity with NAA guidelines and compliance obligations (or a willingness to learn).
- Strong interpersonal skills with the confidence to engage with a diverse workforce and build effective relationships across the business.
- A proactive, solutions-focused mindset and the ability to work both independently and collaboratively.
