As the Senior Office Administrator, you’ll be the face of the project office, providing critical administrative and site support to a collaborative team. You’ll play a central role in ensuring day-to-day operations run smoothly and professionally while maintaining high standards in documentation, communication, and coordination.
Key Responsibilities:
- Provide a professional front-of-house service by greeting all staff, clients, and visitors
- Deliver high-level administrative support to the project and leadership teams
- Prepare, format, and distribute reports, correspondence, and internal communications
- Take accurate meeting minutes and ensure timely distribution of action items
- Set up and manage onboarding processes for new starters (including desk/IT setup)
- Maintain and manage document control registers, filing systems, and shared inboxes
- Raise and process purchase orders and invoices
- Order and maintain office supplies, PPE, and other essential equipment
- Assist in event coordination, team meetings, and small onsite functions
- Liaise with various departments to ensure smooth flow of information across the project
- Ensure the office environment is presentable and aligned with safety and brand standards
- Provide general administrative support and assist with any ad-hoc tasks as required
- Proven 2 years experience in a senior administrative or office coordinator role, ideally in a project-based or construction environment
- Confident, proactive, and capable of working independently in a fast-paced setting
- Strong communication and organisational skills with exceptional attention to detail
- Comfortable managing multiple competing priorities with professionalism and a positive attitude
- Proficient in MS Office and general office systems
- Immediately available and able to commit to the full contract period
