About the role 

Our client is seeking a experienced Team Assistant to provide support to a highly driven and supportive team. The ideal individual will have excellent attention to detail, and have exceptional planning, organizational, and multi-tasking skills.

You will be well presented, articulate in your communication, show sound judgement and discretion and thrive in a fast paced and ever changing environment. This role will allow the successful candidate to develop positive relationships both internally and externally, and further develop their administrative skill set. 

Responsibilities

The key purpose of this role is to provide high quality service and efficient and effective administration support to the Senior Executives.
  • Diary and email management
  • Travel coordination for Directors
  • Preparation of expense claims and monthly credit card reconciliations
  • Manage the production of all fee proposals and ensuring tender submissions are lodged prior to closing date and time
  • Monitor tender alerts for Business Opportunities
  • Maintain marketing materials
  • Assist with timesheet management
  • Assist team meetings and events as requires
  • Manage monthly invoicing
  • Onboarding of new employees including IT equipment and access, workstation setup, PPE equipment
  • Organising team travel arrangements
  • Attending meetings
  • All other ad hoc duties as required
Skills / Experience
  • Senior administration experience with experience supporting an Executive and wider team 
  • Experience in the engineering or construction industry is advantageous 
  • High level of organisational skills and ability to manage competing deadlines
  • Experience in preparing high quality reports and presentations in Word and PowerPoint
  • Excellent written and verbal communication skills, including proof reading
  • Proficient in Microsoft Office and Adobe and ability to learn new systems
