About the role

This opportunity is a 12-month, temporary, 38 hours per week position suitable for a motivated, friendly and experienced Admin/ Customer Service officer.
There is potential for this role to go permanent for the right candidate. 

We are seeking a highly organized and proactive Workplace Assistant to join this team. This role is highly essential in ensuring smooth daily operations, being the face of the company and providing support to both internal and external stakeholders.

The ideal candidate will be enthusiastic, upbeat and professional while being comfortable multitasking and managing various administrative tasks in a dynamic work environment.

Key Responsibilities:
  • Face of the company; greeting customers, answer inbound calls and email queries from internal and external stakeholders.
  • Distribute staff communications as required.
  • Receive and manage inbound and outbound couriers
  • Provide support to the Workplace Manager with soft-service facilities management, including but not limited to; Cleaners and coffee machine maintenance, contractor coordination, logging work orders with building management
  • Manage access passes for employees, visitors, and contractors.
  • Organising staff discount cards 
  • Manage the booking and coordination of catering services.
  • Organising meeting room setup and manage booking requests.
  • Conduct daily office walkarounds to ensure the office remains tidy and presentable.
  • Create and distribute the monthly internal digital newsletter.
  • Monitor and manage pantry and stationery stock levels, ordering supplies as needed.
  • Assist with organizing internal events and activations.
  • Provide new starter building tours and inductions.
  • Coordinate the setup and pack-down of weekly staff events.
  • Provide admin support to wider departments as directed by the Workplace Manager.
Key Selection Criteria:
  • Exceptional Communication Skills: Verbal and written 
  • Organizational and Time Management Skills: Experience in multitasking and prioritizing a variety of responsibilities, often with competing deadlines
  • Attention to detail in managing tasks such as coordinating couriers, meeting room bookings, and managing stock levels.
  • Customer Service Orientation: Demonstrated experience providing high-quality service to both internal teams and external stakeholders.
  • Professional and positive demeanor when assisting visitors, contractors, and employees.
  • Existing Administrative Skills: Proficient in using Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
  • Team Player: Willingness to assist colleagues across departments when required.
  • Ability to work collaboratively with the Workplace Manager and other team members.
  • Must be able to work 5 days in office.
