About the Opportunity
An established and professional services firm is seeking a capable Administration Assistant to join their support team. This position plays a key role in ensuring the smooth day-to-day running of the office, while delivering a high standard of service to both clients and internal stakeholders.
The Role
Sitting at the heart of the business, you will be responsible for creating a welcoming first impression and providing broad administrative support across the firm. Your responsibilities will include:
- Managing front-of-house duties, including meeting and greeting clients and handling incoming calls
- Coordinating meeting rooms and maintaining a professional reception area
- Overseeing shared inboxes and scheduling within the firm’s calendar
- Handling incoming and outgoing correspondence, including mail and couriers
- Assisting with document preparation, formatting, scanning, and filing
- Maintaining accurate client and contact records
- Coordinating catering and refreshments for meetings and internal events
- Monitoring and replenishing office and kitchen supplies
- Supporting compliance-related administration, including ATO lodgments and internal systems
- Providing ad-hoc administrative assistance to team members as required
- Taking on additional responsibilities such as office safety support (training provided)
You will be a proactive and organised administrator who enjoys being the go-to person in the office. You take pride in your work, communicate confidently, and are comfortable managing a variety of tasks.
Ideally, you will bring:
- 1–2 years’ experience in a reception or administrative support role
- Strong Microsoft Office skills (Outlook, Word, Excel, Teams)
- Excellent communication skills, both written and verbal
- A high level of organisation and the ability to juggle competing priorities
- A professional, approachable manner and strong client service focus
- Attention to detail and the ability to handle confidential information with discretion
- A positive attitude and willingness to take initiative
- Previous experience within a professional services environment (advantageous)
- A stable role within a well-structured and professional environment
