About the Role:

As the Executive Assistant & Office Support at NSW Ports, you’ll provide high-level support to the CEO, Board, and Executive Leadership Team while ensuring the smooth and professional running of the Port Botany office. This role is pivotal in enabling the CEO to operate at her best — from managing complex diaries and board governance requirements to representing the business with discretion and professionalism.

Responsibilities:
  • Provide high-level executive support to the CEO & ELT, including complex diary, travel, and meeting coordination.
  • Prepare and distribute Board & ELT agendas, packs, and briefing materials to strict deadlines.
  • Manage business reporting, correspondence logs, and follow-up actions.
  • Liaise with internal and external stakeholders, ensuring exceptional relationship management.
  • Coordinate stakeholder visits, events, and external engagements.
  • Oversee office operations — from reception cover to meeting room set-up and catering.
  • Handle confidential correspondence and documentation with discretion.
  • Ensure smooth information flow across the business, anticipating needs and solving problems before they arise.
The Successful Candidate Will Have:
  • Proven EA experience supporting a CEO or senior executives, ideally with Board duties.
  • Highly organised with exceptional attention to detail.
  • Strong communicator with discretion and professionalism.
  • Proactive, adaptable, and tech-savvy (advanced MS Office).
  • Driver’s licence and car.
