We are seeking a seasoned Executive Assistant with over 10 years of experience, who demonstrates a mature and professional mindset. This role requires someone with the confidence, judgment, and composure to effectively support the CEO of a prestigious financial services firm, managing complex priorities and sensitive matters with ease and discretion.
Responsibilities
- Manage complex diary and calendar commitments for the CEO
- Advise the CEO on urgent matters and prepare relevant documentation
- Prepare board papers and compile meeting packs and presentations for key clients and stakeholders
- Prioritise and efficiently handle reports, business papers, correspondence (including formatting, binding, dispatch, and proofreading)
- Organise travel and related arrangements (flights, accommodation, transport, itineraries)
- Assist with marketing material development and distribution
- Support event management and function setup
- Process expenses and manage special projects as assigned by the CEO or Executive Management
- 10+ years supporting senior executives, ideally within a C-Suite environment
- Proven experience as an EA in financial or professional services sectors
- Demonstrates a mature, professional approach with excellent judgment and discretion
- Ability to manage sensitive information and high-pressure situations calmly and confidently
- Strong initiative, loyalty, and self-motivation
- Excellent written and verbal communication skills
- Builds effective relationships internally and externally
- Reliable team player with keen attention to detail
- Highly organised with excellent planning and time management skills, and adaptable to changing priorities
- Proficient in Microsoft Office Suite
- Commitment to ongoing personal and professional development
