We are partnering with a well-established financial services organisation based in Melbourne CBD to appoint a high-performing Executive Assistant supporting an engaging and collaborative CEO.

This is a unique opportunity for an experienced EA who is looking to step into a broader, more strategic role over time, with a clear pathway into a Chief of Staff / Business Manager position.

The Opportunity

Working closely with the CEO, you will play a pivotal role in ensuring the smooth running of the executive office while gaining exposure to strategic initiatives across the business. You will act as a trusted partner to the CEO, ensuring they are well-prepared, informed, and able to focus on key priorities.
Over time, this role will evolve to include greater involvement in business planning, project delivery, and leadership team coordination.

Key Responsibilities
  • Proactive and complex calendar and inbox management
  • Preparing high-quality briefings, reports, presentations, and correspondence
  • Coordinating Leadership Team and Board activities, including agendas, papers, and action tracking
  • Supporting CEO communications and ensuring effective information flow across the business
  • Assisting with key projects and process improvement initiatives alongside the COO
  • Managing travel, events, and stakeholder engagement
  • Overseeing approvals, reporting, and administrative processes aligned to business outcomes
  • Acting as a key liaison across the organisation to ensure alignment and efficiency
About You
  • Proven experience supporting at C-suite level, ideally within financial or professional services
  • Looking to step beyond a traditional EA role into a more strategic, business-facing position
  • Highly organised with strong attention to detail and ability to manage competing priorities
  • Commercially minded with strong problem-solving capability
  • Confident communicator with the ability to engage senior stakeholders
  • Proactive, adaptable, and comfortable working with autonomy
  • Driven by continuous improvement and operational excellence
