About the role 

This role is fully onsite, Monday to Friday, from 8:45 AM to 5:15 PM. There are ample opportunities for growth and additional responsibilities over time. You will be based on the main office floor with the rest of the team, ensuring the smooth operation of the office.

Key Responsibilities
  • Plan and execute staff events, end-of-month lunches, and staff massages
  • Coordinate travel and accommodation bookings for staff
  • Greet visitors, prepare rooms, and arrange catering
  • Maintain tidy common areas and meeting rooms
  • Handle all inbound calls 
  • Manage facilities, including security, utilities, repairs, and supplies
  • Coordinate mail, post office trips, and couriers
  • Oversee office property and facilities, including car park allocations and security passes
  • Support major projects and marketing initiatives
  • Draft staff communications and handle daily banking
  • Keep staff IT profiles updated and ensure new starters have necessary equipment
  • Inspire staff to embrace company culture and ethics
  • Coordinate training sessions and recognize employee milestones
  • Experience in Office Coordination / Reception role, preferably in financial, legal, or professional services
  • Excellent communication and customer service skills
  • Proficiency in MS Office suite
  • Positive, proactive, and service-oriented
  • Reliable and capable of working autonomously
  • Strong time management and attention to detail
  • Ability to build strong rapport
