Working in a tight-knit Office Support team, this is a busy role where no two days will be the same. You will be the face of the business and be responsible for creating a welcoming and positive first impression for all visitors and
callers.
The hours are 5 hours per day Monday to Friday.
Responsibilities
As the face of the office you will provide a high level of customer service and quality administrative assistance as necessary. Your responsibilities will include, but are not limited to;
- The role is responsible for the welcoming nature and face of the business
- Visitor assistance and visitor management, including greeting all internal and external visitors and ensuring guests have signed in and staff is advised
- Support with all Facilities queries and requests by logging faults and providing information and directions
- Assisting with and managing meeting room bookings and assistance with setting up of meeting rooms for staff and visitors
- Responding to emails
- Managing switchboard and all incoming calls
- Assist with general administrative support such as stationery and office supply requirements
- Assist with administration and maintenance of security access cards to staff and visitors
- Assist with monitoring the onsite performance of Facilities Service Providers
- Managing building and maintenance issues that arise by contacting the relevant Facilities Manager
You will have a positive attitude and a strong commitment to excellent customer service, as well as:
- Previous experience in Reception
- Demonstrated experience operating a busy switchboard
- Flexible approach to work
- Experienced in MS office suite, Outlook & internet
- Excellent telephone manner, communication skills, and customer service
- Ability to work within a high volume, team environment
- Demonstrated ability to take initiative in problem-solving and in exercising judgment
