A well-established and growing organisation based in Dandenong South is seeking a Scheduling Administrator to join their team. This role plays a central part in the day-to-day coordination of service operations, ensuring technicians are effectively scheduled and customers receive timely, professional communication.
You will be responsible for managing incoming service requests, coordinating technician schedules, and maintaining accurate job records from booking through to completion. This position suits someone highly organised, proactive, and confident managing competing priorities in a fast-paced environment.
Key Responsibilities:
- Manage incoming service and maintenance enquiries
- Schedule and coordinate technician workloads to optimise efficiency
- Prepare and update job cards, service requests, and work orders
- Monitor job progress and adjust schedules as required
- Liaise with customers regarding appointment times, updates, and timeframes
- Coordinate parts and internal resources to support service delivery
- Assist with service administration including quotes, invoicing, and purchase orders
- Support warranty documentation and reporting requirements
- Collaborate with internal teams including service, parts, sales, and operations
- Previous experience in a Scheduling Administrator, Service Coordinator, Service Advisor, or similar administration role
- Strong organisational skills with the ability to manage multiple priorities
- Confident and professional communication skills
- High attention to detail and accurate data entry capability
- Comfortable using service management systems and Microsoft Office
- Experience within automotive, mechanical, industrial, or technical environments (desirable)
- Basic technical or mechanical understanding (advantageous)
