About the role

This is an outstanding opportunity for an experienced Executive Assistant to join a progressive membership based organisation based in Melbourne’s inner east. In this role, you will work in close partnership with a highly regarded CEO, providing trusted and valued support in a fast-paced, dynamic environment.

You will be naturally proactive, engaging, and adaptable. Professionally, you’ll bring exceptional organisational skills, the ability to prioritise competing demands, and a strong sense of discretion.

Responsibilities

As Executive Assistant, your responsibilities will include, but are not limited to:
  • Ensuring the CEO is fully prepared and briefed ahead of daily and weekly internal and external meetings/conferences
  • End-to-end meeting coordination, including agendas, minutes, venues, facilities, and catering
  • Diary management and scheduling across multiple priorities
  • Coordinating and managing meeting packs and documentation
  • Booking and managing domestic and international travel arrangements
  • Monitoring deadlines to ensure the CEO is across all key commitments
  • Providing support to the CEO’s direct reports and acting as a point of contact for wider teams
  • Attending meetings, capturing actions/decisions, and ensuring follow-up
  • Coordinating and supporting critical leadership meetings
  • Driving engagement initiatives and proactively identifying areas where additional support is needed
  • Acting as a culture champion, contributing to a positive and collaborative workplace
