Executive Assistant – Investment Coordination
 
Temporary Full-Time | Complex, High-Visibility Role

We are seeking a proactive, highly organised Executive Assistant to support a high-performing Investment team within a large, listed corporate environment.

This is a broad, business-critical role that goes well beyond traditional EA responsibilities. You will be the central point of coordination for executive-level meetings, board-related activities, and team administration across a significant national asset portfolio.

Key Responsibilities Executive and Stakeholder Support
  • Manage complex calendars and coordinate meetings involving internal stakeholders and external partners
  • Liaise with senior leaders, executive assistants, and board-level contacts to manage scheduling and logistics
  • Monitor a shared team inbox, triaging requests and communications appropriately
Board and Meeting Coordination
  • Coordinate regular and ad hoc meetings, internal governance meetings, and board site tours
  • Prepare and distribute agendas, minutes, and action items
  • Support the creation of high-quality documents and presentations for senior stakeholders
Administration and Systems Oversight
  • Manage access and content updates for the portal (SharePoint-based)
  • Oversee expense processing and supplier invoices
  • Assist with the preparation and coordination of showcases and key team events
What We’re Looking For
  • Demonstrated experience as an Executive Assistant, preferably within a listed or corporate environment
  • Proven ability to manage complex scheduling, stakeholder communication, and high-quality document preparation
  • Strong attention to detail and professional presentation standards
  • Confident working across all levels of an organisation, including board members and external partners
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, PDF tools)
  • Experience with SharePoint or Diligent is advantageous
  • A proactive, solutions-focused mindset and strong organisational skills are essential
