About the role 

This is a fantastic opportunity for an experienced and professional Executive Assistant to support the CEO of a prestigious and reputable Financial Services firm in a challenging and rewarding role. This is a diverse role requiring the successful candidate to possess a business mindset that allows them to influence outcomes and make independent decisions.
  
Responsibilities
 
Supporting the CEO your role would involve:
  • Complex diary and calendar management 
  • Advising the CEO of matters requiring personal attention, with associated deadlines, and preparing relevant documentation
  • Prepare and type all correspondence and presentation documents using Word, Excel and PowerPoint for the CEO and, on an as needs basis, other Executive Directors and key staff members
  • Coordinate the administration of key corporate sponsorships
  • Organise and coordinate various strategic planning offsites and corporate conferences
  • Processing expenses
  • Prioritising and ensuring that reports, business papers and correspondence are dealt with efficiently and promptly (formatting, binding, dispatch and proof reading)
  • Organising travel (interstate and overseas) and other related arrangements (flights, accommodation, transport and itineraries)
  • Assisting with event management and function setup
  • Carrying out special projects as allocated by the CEO
Skills and Experience
  • Experience supporting a C-Suite Executive is essential
  • Prior experience working in Financial Services or Capital Markets
  • Strong technically in the Microsoft Office Suite
  • Ability to prioritise and stay one step ahead
  • Display initiative, confidentiality, loyalty, and the capacity/desire to achieve and work with minimal supervision
  • Strong communication skills (both written and verbal)
  • Ability to build effective relationships both internally and externally 
  • Great team player
  • The ability to handle pressure
  • High degree of attention to detail
  • Excellent planning and organisation skills while being extremely flexible
  • Strong technically in the Microsoft Office Suite
  • Excellent time management skills
  • Highly organised and able to prioritise tasks effectively
