About the Role:

Our client, a well-established healthcare provider operating Urgent Care Clinics across the Bayside area is seeking a proactive and highly organised Operations Assistant to join their dynamic support hub. This is a part-time to full-time role (32–38 hours per week, 4–5 days) including every second weekend. Ideal for someone with strong administrative skills and an interest in healthcare operations. You’ll provide day-to-day operational support, including rostering, managing facilities and supplies, and liaising across clinical and non-clinical teams to drive smooth clinic operations.

Key Responsibilities:
  • Coordinate daily staff schedules, including GPs, Registered Nurses, and Medical Receptionists.
  • Provide administrative support to the operations team.
  • Manage supplies, facilities, and general service support tasks.
  • Support on-call phone coverage for operational queries.
  • Act as a central point of communication for staff and partner organisations.
  • Ensure operational processes are streamlined and effective.
  • Contribute to continuous improvement initiatives across clinics.
Skills and Experience:
  • Previous experience in medical or healthcare administration, practice management, or operational support (2–3 years preferred).
  • Strong administration and organisational skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Experience using rostering platforms (e.g., Tanda) desirable.
  • Ability to manage competing priorities and work effectively in a fast-paced environment.
  • Proactive problem-solving skills and ability to work independently and collaboratively.
