Our client, a leading architecture and design studio in Melbourne, is seeking an Office Manager / Executive Assistant to provide executive support to the Directors and ensure the smooth running of their vibrant studio.
About the Role
This is a varied and rewarding position where you’ll combine executive support, office management, and client-facing responsibilities. You’ll be instrumental in keeping operations running efficiently and supporting a team of passionate designers.
Key Responsibilities:
- Manage Directors’ diaries, travel, emails, and meetings
- Prepare quotes, review contracts, and follow up on client inquiries and leads
- Oversee office operations, budgets, invoices, supplies, and vendor relationships
- Coordinate staff events, team meetings, and studio functions
- Prepare reports, presentations, and correspondence
- Support HR activities including onboarding and team communications
- Proven experience as an Executive Assistant, Office Manager, or Studio Manager
- Preferability from Architecture or a similar industry
- Exceptional organisational and multitasking skills
- Experience preparing quotes, reviewing contracts, or supporting project administration
- Proficient in Microsoft Office (Adobe/InDesign a plus)
- Proactive, professional, and solutions-focused
