About the role:

Reporting to the Executive Director, Supply Chain, the Executive Assistant will be responsible for providing comprehensive administrative support within a fast paced and dynamic environment.

The Executive Assistant will play a pivotal role by planning and orchestrating work to ensure the Executive Director’s priorities are met, organisational goals are achieved, and best practices are upheld.

With a primary responsibility of supporting the Executive Director, the Executive Assistant will also provide ad-hoc support to the wider Supply Chain and Procurement leadership team to ensure that company goals and objectives are accomplished, and operations run efficiently.

A hybrid working environment will include locations at our Melbourne CBD office as well as our Derrimut Distribution center

Your responsibilities:
  
In this exciting newly created role, your objective will not be to solely free up the time of the Managing Director, it will be to make their execution more impactful. As such, you will be responsible for some of the following key tasks (and more);
  • Coordinate complex scheduling and extensive calendar management,
  • Ensure the Executive Director is fully prepared for meetings by drafting agendas/briefing packs, documenting minutes/actions, and executing the required follow ups after meetings
  • Writing and formatting highly confidential documents/presentations on behalf of the Executive 
  • Provide ad-hoc administration and project support to the wider Supply Chain and Procurement leadership team.
  • Liaising with key internal and external stakeholders and communicating Business Strategy and initiatives to the wider business
  • Support the onboarding and orientation of new joiners within Supply Chain and Procurement
  • Provide leadership and support to the wider business
  • Extensive project support  
Skills and experience:

Having worked as an Executive Assistant, you bring extensive experience in:
  • Proven Extensive experience in providing administrative, business support/coordination, ideally within an Executive Assistant role
  • Highly developed Microsoft Office skills (Word, Excel, PowerPoint; and Outlook).
  •  Experience in a team environment in a position requiring a high degree of autonomy and flexibility.
  • Proven experience in working to deadlines and managing tight and/or conflicting timeframes.
  • Well developed communication and liaison skills.
  • Enthusiasm, energy, inquisitiveness, initiative and innovative thinking.
