About the role 

This is a fantastic opportunity for an experienced and professional Executive Assistant to support the CEO, Board, and senior management team of a leading NFP in a challenging and rewarding role. This is a diverse role requiring the successful candidate to possess a business mindset that allows them to influence outcomes and make independent decisions. This is a 12-month fixed-term contract position. 

Your responsibilities
  • Acting as the first point of contact for the CEO and internal or external stakeholders.
  • Complex email and diary management across multiple time zones and ensuring the CEO is fully briefed in anticipation of all meetings.
  • Organise international and domestic travel, accommodation, and car hire for the CEO, together with the Board and advisory group members, as required; prepare detailed travel itineraries.
  • Securing meetings with external stakeholders for the CEO’s overseas travel.
  • Compiling emails, correspondence, presentations, internal documents, and staff communications and assisting when required with proofing marketing material, website content, stakeholder invitations, and external eDMs.
  • In consultation with the CEO and the Executive team, prepare and distribute all Board papers, including Agendas, Minutes, CEO Reports, Finance Reports, and other papers requiring Board approval, at bi-monthly Board meetings, AGMs, and annual Strategy Days. 
  • Coordinate Executive WIP items for the CEO and any information required for Board meetings and annual Strategy Days.
  • Assist the communication and marketing teams with events.
  • Other ad hoc duties and tasks as required, ensuring the smooth running of the head office.

  • Exceptional people and relationship-building skills
  • Excellent verbal and written communication skills
  • Ability to multitask, handle pressure and juggle deadlines
  • Exemplary attention to detail and problem-solving skills, anticipate CEO needs before they arise, effectively use initiative
  • Strong time management and organisational skills, including accurate minute-taking and record-keeping
  • High level of digital literacy, including proficiency in Microsoft Office applications & CRM systems
  • Well-developed understanding of the need to maintain confidentiality and professionalism in all dealings
  • Team player with an enthusiastic approach – positive, proactive, motivated
  • Minimum five years experience as an Executive Assistant
