This is your chance to join a well-established finance brokerage and play a pivotal role supporting the Managing Director and leadership team while ensuring the smooth day-to-day running of the North Sydney office.
This is a true dual-role - combining EA support with hands-on office management. You’ll be the central point of coordination, trusted to keep the MD’s schedule running seamlessly while creating a welcoming and efficient environment for the broader team.
Key Responsibilities
Executive Support
- Manage the MD’s complex diary, travel, and correspondence
- Prepare meeting agendas, take minutes, and follow up on action items
- Coordinate internal and external communications with discretion
- Oversee office supplies, facilities, and vendor relationships
- Organise team events, onboarding, and internal initiatives
- Liaise with IT, HR, and Finance to support operations
- Manage ad hoc PA duties - from coffee runs to event organisation
- Handle 2–3 hours of daily admin/data entry using HubDoc, Xero, Connective, and OneNote
- Act as the first point of contact, ensuring priorities are met in a fast-paced, ever-changing environment
You thrive in a role where no two days are the same, and bring:
- 3–5 years’ proven experience in EA and/or Office Management
- Strong organisational skills with the ability to juggle shifting priorities
- Tech savvy — proficient in MS Office (Word, Excel, Outlook) and ideally Xero/Connective
